About careloop

careloop is a patient recall system built by clinicians and tech founders who understand the challenges of running a small clinic in India.

We saw that too many patients forget appointments, reducing clinic revenue and leaving staff frustrated. We built careloop to solve this with simplicity: one form, one click, reminders that work.

Our mission: Help small clinics in Kerala and beyond focus on what they do best — treating patients — while we handle the reminders.

Terms of Service

1. Service Description

careloop is a patient recall and follow-up system operated by SRX TECHNOLOGIES ("Provider"). The service allows clinics to capture patient contact information and send automated WhatsApp reminders.

2. Subscription & Billing

Your subscription is billed monthly on a recurring basis. You may cancel anytime. Billing occurs on the same date each month unless you cancel before then. A one-time onboarding fee of ₹499 applies at signup.

3. Trial Terms

Your 14-day trial is free. After 14 days, billing begins unless canceled. You can cancel trial anytime before day 14 with no charge.

4. Data Ownership & Processing

Your Responsibility: You own all patient data. You are responsible for obtaining patient consent before providing their contact information to careloop.

Our Responsibility: We provide processing and storage of this data, send reminders via WhatsApp API, and allow exports. We do not sell, share, or use patient data for any other purpose.

5. Limitation of Liability

To the fullest extent permitted by law, careloop is provided "as is" without warranties. We are not liable for indirect, incidental, or consequential damages, including loss of revenue or data loss, even if advised of such possibility. Our total liability shall not exceed the fees paid in the 12 months preceding the claim.

6. Cancellation Policy

You may cancel your subscription anytime by logging into your dashboard or contacting us. Cancellation is effective immediately. No refunds are provided for unused portions of the month.

7. Governing Law

This agreement is governed by the laws of India. Any disputes shall be subject to the exclusive jurisdiction of courts in Kerala.

Privacy Policy

1. Data We Collect

Clinic Account Data: Clinic name, doctor name, phone, email, city, payment details.

Patient Data: Names and phone numbers entered by your clinic staff. This data is provided by you with patient consent.

Usage Data: Analytics on message sends, delivery, and booking confirmations.

2. How We Use Your Data

Patient Data:

• Send scheduled WhatsApp reminders only
• Store and allow export for your clinic records
• Generate anonymized analytics for your dashboard

Clinic Data: Used to operate your account, send support, and improve our service.

3. Data Sharing

We do not sell your data. We may share data with WhatsApp API provider solely to deliver messages. Sharing is limited to phone numbers and message content required for delivery.

4. Security

Data is encrypted in transit (TLS 1.2+) and at rest using AES-256. We use AWS infrastructure with regular security audits. Backups are performed daily.

5. Data Retention

Data is retained while your account is active. Upon account deletion, data is securely deleted within 30 days. You can request data export anytime.

6. Your Rights

You have the right to:

• Access your clinic and patient data anytime
• Export your patient data as CSV
• Request deletion of your account and associated data
• Opt out of non-essential communications

7. Compliance

We comply with GDPR (where applicable), India's Information Technology Act, and TRAI DND regulations for telecom.
